Every integrator I talk with is on the go more than ever before. We seem to be working constantly with multiple devices—from the office, jobsite, home, coffee shops, cars and airplanes. The challenge is to maintain access to all of your vital info, daily communications and core software as you move from device to device and place to place.
Today’s technology offers so many ways to solve this puzzle. However, it takes considerable experience, knowledge and time to set up and fine-tune the best solution for your office. While there are many options—and they can differ based on your choice of OS—let’s take a look at some of my favorite solutions for mobile office needs.
My Favorite Telephone Solution
In my younger days, I installed and serviced business key telephone and PBX systems using standard telephone landlines. Today, advances in internet speeds and VOIP have forever changed business phone systems. A basic office should be well-served by fast internet that feeds single-line or multi-line VOIP phones at a price lower than traditional business lines.
I recommend setting up your phones to work with a virtual PBX cloud solution. This provides an easy-to-configure auto attendant that answers incoming calls and asks callers to hit 1 for sales, 2 for service, 3 for administration, etc. These services include custom greetings, voice messages, efaxes, day/night scheduling and more.
That takes care of calls coming into the office, but a virtual PBX is also the key to flexible remote access to your phone system. As you move from your office phone to your cell phone to your home phone, you can easily route your calls to your desired destination. Even if you leave the office to play golf after lunch, your switchboard can route the call to your cell phone and the caller will have no way of knowing you are not at your desk. When you get a call on the golf course, you can transfer it to other extensions in your system in a very professional way.
